一、邮件主题 (Subject)
邮件的主题会直接影响到邮件的打开率,所以一定要准确且简明扼要地表达邮件的主要内容,以下是可以选用的部分主题模板:
1. URGENT: action need by (date)
情况紧急,需要尽快得到回复
2. For Approval/Review:(Project name)
用于需要审批/审阅的内容或项目
3.(Project name) Meeting Prep Materials/agenda/presentations (meeting date)
某日某某会议的准备资料/会议日程/展示材料
4.(Project name) Report Updated (date)
某项目/事件截至某日的报告
5. FYI Only/No Action Needed (Project name)
表示这封邮件仅供参考,无需对方做出任何回应
6. Preview/Heads Up (project name/file name)
关于某项目/事件的预告或预先展示,heads up给对方一个提醒或引起对方的注意
二、人称问候
1. 不知收件人性别:

英文邮件一般习惯在开头给予简单的问候,以示礼貌,然后言简意赅地表明自己写这封邮件的目的。几个常见的邮件开头如下:

2. 回复他人

五、正文内容
1. 一个段落一个主题,必要时可采用项目编号的格式;
2. 说明了写信目的及背景之后,接下来另起段落给与详细信息或要求对方行动,例如回信、回电、表达意见、缴交文件等。

Please follow up and deal with as soon as possible?
3. 注意事项
邮件中需要使用书面语,例如使用received替代got;
邮件中尽量不要用缩写,例如使用does not,而不用doesn’t
4. 多用委婉客气的语气,例如:
I was wondering if you could provide some more details,
5. 重要内容要加粗或者改变字体颜色
6. 如果需把邮件转交给相关的同事跟进,可使用:
